When your practice will cover access for several clients, the bulk seat flow lets you reserve paid seats and send the invitation emails in one operation.
Starting a Bulk Invite
- Navigate to Clients in the left navigation.
- Open the page's three-dot menu and choose Select clients for paid seats.
- Checkboxes appear beside each client. Select the clients to seat.
- Choose Provide paid seats in the selection summary.
Selecting Contacts
Check the box next to each contact you want to invite. You can also use the header checkbox to select all visible contacts on the current page.
Sorting Options
While in selection mode, you can sort the list to find the right contacts:
| Sort | Description |
|---|---|
| Alphabetical | Sort by last name, then first name |
| Last Touched | Most recently interacted contacts first |
| Created Date | Most recently added contacts first |
Use sorting in combination with your existing client list filters to narrow down the selection.
Review and Invite Order
Choose which clients receive the available seats first:
- Alphabetical — last name from A to Z
- Most recently touched — recent client conversations first
- Newest added first — recently created client records first
You can also add one optional message. The same message is included in every invite email in that batch. Select Provide seats to reserve the seats and send the emails. If the practice runs out of seats, the remaining clients are skipped in the chosen order.
If you need more seats than your current plan includes, you can purchase overflow seat packs from Settings > Subscription before starting the bulk invite.
Sending Invitations
Each eligible client receives an email with instructions to accept the paid seat and connect their account. If a seat is reserved but an email provider does not deliver the message, the result calls that out and directs you to Seats to manage or resend it.
Skipped Contacts
Some contacts may be skipped even if they're within your seat cap. Each skipped contact shows a reason:
| Reason | Explanation |
|---|---|
| No valid email | Client record is missing a usable email address |
| Already seated or invited | Client already has a paid seat or an outstanding seat invitation |
| Seat cap reached | No remaining paid seat was available in the practice |
After Invitations Are Sent
Invited clients show Seat invite pending beside their name until they accept. Manage outstanding invites, including resends, from Practice → Seats.
