The client list at Practice → Clients is your practice's home base. Every household — connected, seated, or just in your CRM — appears here, with badges that tell you the state of each relationship at a glance.
What the Banner Tells You
The banner across the top summarizes the recorded book for linked clients whose CRM status is Active or Inactive:
- Total CV — latest recorded cash value across live policies
- In Use — latest recorded policy-loan balances from those policy snapshots
- Net CV — Total CV minus In Use
- Total Death Benefit — current recorded death benefit, using the latest whole-life snapshot when available and the recorded contract value when no snapshot exists; term conversions and ended coverage are reflected
- Lives / Households — unique insured people with current coverage alongside distinct linked households
- Policies — live policies, excluding archived, replaced, and converted-away records
A person with more than one policy counts once in Lives. Two linked users who share one household also count as one household. Unlinked CRM contacts are not included because they do not yet have a shared household policy record in Policy Stack.
For agency teams, the banner follows the Advisor selection in the roster toolbar. The line below the metrics states the selected scope, how many active or inactive CRM client records are linked, how many linked households have live policies, how many policies have snapshots, how many policies were updated in the past 12 months, how many have current death benefit values, and how many covered policies identify an insured. Missing accounts, incomplete insured names, and stale records are visible rather than silently presented as complete.
Connection States
Each client row carries a state badge:
- Connected — the client accepted your connection invitation; the link is active. Data-sharing is a separate consent the client controls scope by scope (see What "Connected" Means).
- Pending — you sent an invitation; the client hasn't accepted or declined yet.
- Seated — you're paying for the client's Builder Pro access. Seated and Connected are independent — a client can be Seated without you having data-sharing on every category.
- Not Invited — the client lives in your CRM (manually added or CSV-imported) but you haven't sent an invitation. No account, no pending invite — just a CRM record.
Both Connected and Seated badges can appear on the same row when they apply.
Adding a Client
Click Add Client to open a dialog with two CTAs:
- Invite directly to a seat — for clients you're ready to put on Builder Pro now. Optionally override the default seat expiration just for this invitation.
- Add to CRM, invite later — for contacts you want to track before reaching out. They land as Not Invited.
Filtering Your Client List
The Active, Inactive, and Lost controls show the number of clients in each lifecycle state. Search stays visible. For agencies, Advisor also stays in the toolbar so team members can switch between their book, the agency book, unassigned clients, or a specific advisor. Choose Filters for the less-frequent filters:
| Filter | Options |
|---|---|
| Source | Referral, partner, event, outreach, and other recorded sources |
| Cadence | Weekly through annual, or none |
| Temperature | Hot, warm, cold, or unset |
| Last touched | Never, past cadence, or a recent date range |
| Link | Linked or not linked to Policy Stack |
Filters stack, and only applied filters remain visible as chips below the toolbar. Clear one chip or use Clear all to return to the lifecycle view.
The Prospects page uses the same compact roster layout. Because every row is already a prospect, it omits the client lifecycle control while keeping search, the agency Advisor selector, Filters, and contextual page and row actions in the same locations.
Save frequently used filter combinations as Smart Lists for one-click access. See Smart Lists Overview for setup.
Sorting
Click any column header to sort. Useful sorts:
- Client — alphabetical by last name
- Relationship — lifecycle status
- Follow-up — recorded touchpoint timing
The default table keeps Client, Relationship, and Follow-up visible. Temperature, cadence, and flags are optional columns under the page's three-dot menu.
Searching
The live search bar matches first and last names. Results update as you type.
Quick Actions from the List
Each row has a quick-action menu (three dots):
- Create a pipeline deal
- Assign an advisor when an agency client is unassigned
- Select the client for a bulk paid-seat action
Open a client by clicking their name. Choose Select clients for paid seats from the page's three-dot menu when you want persistent checkboxes. After selecting clients, Provide paid seats opens a review step where you choose invite order and can add one optional message included in every invite email. Already seated or invited clients and clients without a valid email are skipped with a reason. The same page menu holds Import CSV, Export CSV, board view, and optional columns.
CSV Export
Export the client roster to CSV from the page's three-dot menu. Search plus lifecycle, source, cadence, temperature, last-touched, link, advisor, and import filters carry into the export.
